Why Good Services Lose NHS Tenders
Some of the best healthcare providers in the UK consistently lose NHS tenders — not because their service is poor, but because their bid response doesn't do it justice. Here are the ten most common mistakes we see, and how to avoid them.
Mistake 1: Not Answering the Question
This is the number one reason bids fail. Evaluators score your response against specific criteria. If the question asks "How will you manage transition?", don't write about your company history. Answer the actual question.
Mistake 2: Generic, Copy-Paste Responses
NHS evaluators can spot a reused response from a mile away. Every bid needs to be tailored to the specific tender, the local population and the commissioner's priorities.
Mistake 3: No Evidence or Case Studies
Claims without evidence score poorly. Every assertion should be backed by data, outcomes, case studies or testimonials. "We provide excellent care" means nothing. "We achieved a 15% reduction in readmission rates across three community teams" is compelling.
Mistake 4: Ignoring Social Value
Social value now carries 10-20% of the total score in most NHS tenders. Providers who treat social value as an afterthought lose marks to those who quantify community benefits, local employment and environmental commitments.
Mistake 5: Weak Financial Modelling
Pricing that's too high loses on value for money. Pricing that's too low raises concerns about deliverability. Your financial model should be transparent, defensible and built from activity-based costing.
Mistake 6: Poor Presentation and Structure
Evaluators read hundreds of pages across multiple bids. A well-structured response with clear headings, numbered sections and visual aids (process maps, timelines, organograms) scores better than dense blocks of text.
Mistake 7: Missing Compliance Requirements
Failing to complete mandatory forms, provide requested appendices or meet formatting requirements can result in automatic disqualification. Always create a compliance checklist from the tender documents.
Mistake 8: Starting Too Late
Quality bids take time. Starting a 20,000-word bid response with three days to deadline virtually guarantees a weak submission. The best bidders begin preparation months before the tender is published.
Mistake 9: No Clear Mobilisation Plan
Commissioners want to know how you'll actually stand up the service. A detailed mobilisation plan with milestones, TUPE arrangements, workforce recruitment and stakeholder engagement demonstrates readiness.
Mistake 10: Not Seeking Expert Help
NHS bid writing is a specialist skill. Using experienced bid management consultants who understand NHS procurement, evaluation methodology and commissioner priorities can make the difference between winning and losing.
